Background
    • Maintain and update attendance, leave, and staff records on a daily basis.
    • Verify timesheets with attendance records and submit them for payroll processing.
    • Assist in the recruitment process by scheduling interviews and preparing documentation as directed by the Admin HR Officer.
    • Maintain and update records of visitors, telephone logs, dispatch, and post mail.
    • Supervise guards and support staff at the field office.
    •  Ensure office premises are clean and well-maintained.
    • Assist the procurement officer in obtaining quotations from vendors.
    • Coordinate with the logistics officer for vehicle fuel and maintenance records under the supervision of the Admin HR Officer.
    • Maintain records of stationery and office supplies and report to the Admin HR Officer for review.
    • Update STI (Serially Tracked Items) and SHARP assets records under the guidance of the Admin HR Officer.
    • Ensure all office assets (vehicles, furniture, equipment) are in working condition and report any issues to the Admin HR Officer.
    • Report any damages or obsolescence of items to the Admin HR Officer for further action.
    • Maintain financial records in Excel for field office operations and share with the Admin HR Officer for review.
    • Scrutinize financial documents before submission to the head office as per the instructions of the Admin HR Officer.
    • Assist in organizing training sessions, including venue selection and cost estimation.
    • Collect and verify DSA forms and supporting documents from staff and submit them to the Admin HR Officer for approval.
    • Ensure compliance with SHARP policies and manuals as directed by the Admin HR Officer.
    • Maintain confidentiality of all organizational records and information under the supervision of the Admin HR Officer.
    • Perform any other duties as assigned by the Admin HR Officer.
Requirements
  • Qualifications:

    • Bachelor’s degree in Business Administration, Finance, HR, or a related field.
    • Minimum of 2-3 years of experience in administration and HR support.
    • Proficiency in Microsoft Office (Excel, Word, Outlook).
    • Strong organizational and communication skills.
    • Attention to detail and ability to multitask.
