ROLE OVERVIEW
We are seeking a highly organised and proactive individual to provide administrative support as directed by the department to the programme's teams within the ISU-supported offices. This role will play an important role in supporting internal communication, delivery of programmes and reporting.
KEY RESPONSIBILITIES
• Organise and maintain programme documentation, ensuring all records are current and compliant with internal and donor requirements.
• Assist the Programmes Managers with scheduling, correspondence, and calendar management related to programme activities.
• Assist programmes teams in coordinating and implementing various programme activities, including WASH, Health, FSL, Education, Orphan Sponsorship, and Emergency.
• Work closely with the Programmes Managers to ensure submission of project reporting documents and maintain up-to-date project files.
• Support the review of project reporting documentation against project close out criteria such as financial reporting, checking invoices, receipts and other end of project submissions.
• Ensure project tracking tools are updated and supporting the monitoring of project timelines, deliverables, and reporting deadlines.
• Draft minutes from meetings and follow up on action points.
• Contribute to developing and maintaining effective internal communication channels between the programme’s teams and other internal departments.
• Ensure requests from other departments are logged, assigned to the relevant team members, and tracked through to completion in a timely manner.
• Prepare summaries, briefings and updates as required for internal stakeholders.
• Support the preparation and sharing of donor feedback and reporting as instructed by the Programmes Managers, especially for WASH and Orphan Sponsorship.
• Adhere to MH’s policies and procedures while carrying out responsibilities.
• Undertake any other reasonable duties as directed by the department or Programmes Managers.
ESSENTIAL CRITERIA
• Bachelor’s degree in a relevant field (e.g. International Development, Social Sciences, Public Administration, or related discipline), or equivalent work experience in a similar administrative or programmes support role.
• Excellent command of written and spoken English.
• Proven experience in an administrative or project support role, preferably within a nonprofit or project-based environment.
• Strong organisational and time management skills, with the ability to manage multiple tasks and deadlines.
• Willingness to work flexible hours, including evenings or weekends.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy in documentation and data entry.
• Ability to work collaboratively within a team and communicate effectively with various stakeholders and departments.
• Proactive, solution-focused approach with the ability to take initiative.
• Commitment to the mission, values, and humanitarian principles of Muslim Hands.
• Cultural sensitivity and the ability to work effectively in multicultural, multidisciplinary, and international teams.
DESIRABLE CRITERIA
• Familiarity with or knowledge of key programmatic areas such as WASH, FSL, Education and Orphan Sponsorship.
• Certification or training in project management
• Familiarity with donor-funded projects and reporting requirements
• Ability to travel both domestically and internationally if required.
