Background
  • Main Responsibilities:

    Under the supervision of the HR Coordinator, the incumbent will be responsible of the following tasks:

    Policy Development: 

    • Prepare concept notes, draft polices, induction proceedings and record departmental meeting minutes.
    • On the instructions of HR Coordinator communicate with internal and external stakeholders
    • Implements management guidelines by preparing, updating, and recommending human resource policies and procedures.
    • Provided assist in grievance and complaints inquires and taking notes. 

    OD & Capacity Building: 

    • Assist in the preparation of OD and human resources development plan.
    • Responsible for training and development component.
    • Identify the need assessment for internal/external training's to enhance the effectiveness of the staff performance.
    • Develop the training calendar to meet the organisation's needs.
    • Identify and suggest appropriate training programs that meet organisation goals.
    • Develop and update orientation manual and when required arrange orientation training session for new employees.
    • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
    • Ensures planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees; hearing and resolving employee grievances; and counselling employees and supervisors.

    Governance:

    • Development and execution of “best-practice” governance policies and procedures, including, Internal Governance Structures, Risk Management Oversight, Human Resources, Ethics and Legal Compliance.
    • Provides high-quality analytical and administrative services to support the effective management of governance including the relationship with the board and Committees, and serving as the key liaison with members as requested.
    • Ensures legal compliance by monitoring and implementing applicable human resource federal and state requirements, conducting investigations, maintaining records, and representing the organisation at hearings. 

    Recruitment, Documentation & Coordination:

    • Assist is recruitment & selection process.
    • Assist in preparing/updating staff personal files.
    • Ensuring to implement the employee's performance review/appraisals (quarterly/annually), and making sure that it is implemented on all organisational staff.
    • Prepare a comprehensive multi-year calendar and set timelines covering all aspects of the Board’s and Committee’s work plans.
    • Coordinate and provide assistance in Board/Committee meetings, by developing pre and post-meeting materials (i.e., annual work plans, drafting agendas, briefing notes, background papers, presentations, minutes, and action lists) and ensures its timely issuance.
    • Assist HR team in day to day activities.
    • Any other task assigned by the supervisor and senior management.
Requirements
  • Required Qualification:

    • 16 Years Education in the relevant subjects, preferably in (HR).
    • Minimum 5 years of experience in the HR Department of progressive organisation.

    Required Skills:

    Candidate must possess the following skills:

    • Excellent learner, emotionally intelligent and have good conflict resolution skills.
    • Must be adaptive, flexible, and passionate and have positive attitude.
    • Having hand on experience to deal with Governance matters.
    • Having experience to deal with statuary requirements of the Organisation.
    • Must have an experience of administration, compensations and health Insurance.
    • Work on short deadlines lines and handle workload.
    • Must have a good narrative report writing skills and can write concept notes.
    • Have knowledge to implement performance appraisal, skills development and capacity building strategies.
    • Must have proficiency in office and business administration software.
    • Possesses interpersonal, as well as written and verbal communication skills.
    • Having good knowledge of Employment and harassment law.
    • Excellent leadership, analytical and time-management skills.
