Background
  • The Assistant Manager – Operations is responsible for ensuring the smooth execution of the College's day-to-day operational and administrative activities. The incumbent will oversee facilities management, procurement, vendor coordination, transport operations, inventory management, maintenance, utilities, and operational compliance to ensure an efficient and safe learning environment.

    Working closely with the Manager – Systems & Operations, the role serves as the primary operational focal person for the campus by coordinating with internal departments, external vendors, government bodies, and service providers while ensuring uninterrupted academic operations.

    Job Responsibilities: 

    Area 1: Operations & Facilities Management

     

    • Ensure the smooth day-to-day operations of the College and maintain a safe, clean, and functional campus environment.
    • Supervise housekeeping, security, and maintenance staff while coordinating preventive and corrective maintenance of college facilities, equipment, and utilities.
    • Ensure operational readiness for academic activities, examinations, meetings, and events.

    Area 2: Procurement, Inventory & Vendor Management

    • Coordinate procurement, inventory management, and timely distribution of textbooks, stationery, uniforms, examination materials, and other operational supplies.
    • Liaise with approved vendors and service providers, maintain vendor records, verify invoices, and ensure timely processing of procurement and operational requirements.

    Area 3: Transport & Administrative Support

    • Manage staff and student transport operations, coordinate with transport vendors, monitor vehicle tracking systems, and resolve operational issues.
    • Maintain attendance and leave records through NMS, prepare operational reports, process utility bills, and support finance and HR-related administrative activities.

    Area 4: Coordination & Compliance

    • Coordinate with Regional Office departments, Boards, utility providers, vendors, and other external stakeholders for operational matters.
    • Ensure compliance with organizational policies, maintain operational documentation, support audits and inspections, and undertake additional responsibilities assigned by the Manager – Systems & Operations.
Requirements
  • Required Skills

    • Strong knowledge of operations and administrative processes
    • Proficiency in MS Office, particularly Excel and Word
    • Experience using HRIS/NMS and attendance management systems
    • Strong vendor and stakeholder management skills
    • Good planning, organization, and execution abilities
    • Excellent communication and interpersonal skills
    • Ability to troubleshoot operational issues under pressure
    • Strong documentation and record management skills
    • A great work ethic and a knack for continuous improvement
    • Alignment with college culture and values of Ardor, Leadership, Integrity, Persistence and Humility

    Education

    BBA/BPA/MBA/MPA/MS or any other relevant qualification

    Experience

    2–3 years of relevant experience in Operations, Administration, Facilities Management, or Supply Chain. Experience in an educational institution will be preferred.
