  • Position summary

    The Operations & Liaison Officer will support the smooth day-to-day functioning of the Justice Hub by managing administration, procurement, logistics, safety, facilities, data and local stakeholder coordination. The role will oversee front-desk and client-facing administrative functions, office supplies and equipment, vendor coordination, purchase requests, procurement documentation and CMS updates, while ensuring the Hub remains safe, accessible and well-maintained. The position will also serve as a local focal point for coordination with courts, bar associations, police, government departments and civil society organisations, and will support outreach sessions, events and trainings. The ideal candidate will be organised, proactive and client-focused, with the ability to manage multiple operational priorities while maintaining confidentiality, compliance and professional standards.

    Key responsibilities

    1. Hub Operations & Administration

    • Manage reception, scheduling, and client-facing administrative tasks.
    • Supervise front-desk functions with professionalism and empathy.
    • Ensure cleanliness, order, and readiness of hub facilities, including signage and service areas.
    • Oversee the functionality of IT systems, office equipment, and supplies.
    • Track consumables and initiate procurement as required.
    • Support data collection and CMS updates.

    2. Safety & Safeguarding

    • Ensure fire safety, first aid, and access control readiness.
    • Support periodic safety drills and threat assessments.
    • Monitor compliance with accessibility guidelines for persons with disabilities (PWDs).
    • Report and mitigate safeguarding concerns confidentially.
    • Maintain security systems, including CCTV, locks, and emergency exits.

    3. Procurement & Vendor Management

    • Initiate and follow up on Purchase Requests (PRs).
    • Liaise with vendors for quotations, delivery, and quality assurance.
    • Maintain procurement trackers and vendor documentation.
    • Identify and pre-qualify local vendors.
    • Ensure compliance with BOQs, donor requirements, and audit requirements.

    4. Stakeholder Liaison & Outreach

    • Serve as the local focal point for courts, bar associations, police, DC/SSP offices, and CSOs.
    • Maintain visit logs, meeting minutes, and outreach reports.
    • Assist in organizing outreach sessions, events, and trainings.
Requirements
  • Education:
    Bachelor’s degree in Management, Business Administration, or equivalent.

    Experience:
    3+ years of experience in administration, operations, or NGO project support.
